Workspace Management

Learn how to manage your workspace, invite members, and configure roles and permissions.

Workspaces allow you to collaborate with your team, share projects, and manage billing centrally. Every user has a personal workspace by default and can create or join multiple additional workspaces.

Switching Workspaces

You can switch between your workspaces at any time using the workspace switcher in the header.

  1. Click the current workspace name in the top left of the dashboard.
  2. Select the workspace you want to switch to from the dropdown menu.
  3. The dashboard will update to show projects and settings for the selected workspace.

Workspace Settings

To access workspace settings, click the "Settings" button (gear icon) next to the workspace name in the dashboard. Use the unified settings panel to manage all workspace details.

Renaming Your Workspace

Workspace Owners and Admins can rename the workspace.

  1. Open Workspace Settings.
  2. Locate the Workspace Name field at the top.
  3. Enter the new name.
  4. Click Save.

Member Management

Collaborate with your team by inviting them to your workspace.

Inviting Members
  1. Open Workspace Settings.
  2. Scroll to the Invite Member section.
  3. Enter the email address of the person you want to invite.
  4. Select a role (Admin or Editor) from the dropdown menu.
  5. Click Invite.

The user will receive an email with a link to join your workspace.

  • New Users: Will be prompted to create an account before joining.
  • Existing Users: Can log in to accept the invite.
Managing Pending Invites

You can view and manage outstanding invitations in the "Pending Invitations" list.

  • View Pending: Scroll down to see invites that haven't been accepted.
  • Revoke: Click the Revoke button next to an invite to cancel it.
Changing Member Roles

Workspace Owners can change the role of existing members (e.g., promote an Editor to Admin).

  1. Open Workspace Settings.
  2. Scroll to the Team Members section.
  3. Click the role badge (e.g., "EDITOR") next to the member's name.
  4. Select the new role from the dropdown menu.

Note: You cannot change the role of a Workspace Owner.

Removing Members

Workspace Owners can remove existing members.

  1. In the Team Members list, find the user.
  2. Click the Remove (trash icon) button.
  3. Confirm the action.

Note: You cannot remove yourself from a workspace you own.

Roles & Permissions

Looops offers three role levels to control access within a workspace.

OwnerFull access to everything. Can manage billing, change member roles, remove members, and delete the workspace. Only one owner per workspace.
AdminCan invite members, revoke invites, rename the workspace, and manage all projects. Cannot change roles, remove members, manage billing, or delete the workspace.
EditorCan create and edit projects. Cannot manage workspace settings, invites, or delete projects/workspaces.

Project Transfers

You can transfer a project from one workspace to another. Transfers require approval from the destination workspace owner or admin.

Sending a Transfer Request
  1. Go to Project Settings or click the three dots (...) menu on the project card.
  2. Select Transfer Project.
  3. Enter either:
    • The Workspace ID of the destination workspace, or
    • The email address of the destination workspace owner
  4. Optionally add a message explaining the transfer.
  5. Click Send Request.

The destination workspace owner or admin will receive the request and must approve it.

Note: You must be the Owner of the source workspace to transfer projects. The destination workspace must be on a Pro plan.

Approving/Rejecting Transfer Requests

When someone sends a project to your workspace, you'll see it in your Workspace Settings.

  1. Open Workspace Settings.
  2. Scroll to Incoming Transfer Requests.
  3. Review the project details and who sent it.
  4. Click Approve to accept the project, or Reject to decline.

Transfer requests expire after 7 days if not acted upon.

Sharing Your Workspace ID

To receive project transfers from other users, you'll need to share your Workspace ID.

  1. Open Workspace Settings.
  2. Find the Workspace ID section.
  3. Click Copy to copy the ID to your clipboard.
  4. Share this ID with anyone who wants to transfer projects to you.

Alternatively, you can share your account email address, and the sender can use that instead.
